How to Manage ABA Reauthorizations: A 6-Stage Board So None Lapse

Illustration for How to Manage ABA Reauthorizations: A 6-Stage Board So None Lapse

How to run ABA reauthorizations without missed end dates: a six-stage board from Upcoming to Decided, a reauth Plan of Care from the payer's template, and prior-period units filled in.

Most lapsed ABA authorizations aren't denied — they're late. TargetFlo's Reauthorizations board (Clinical menu) puts every client's next authorization in one of six stages, so you can see who is behind before the end date passes.

1. Upcoming (61–120 days out)

Nothing to do yet, but it's on the board.

2. Due (60 days or fewer, not started)

Click Start reauthorization. TargetFlo creates the next draft authorization (starting the day after the current end date) and the reauthorization Plan of Care.

3. POC in progress

The reauth Plan of Care comes from the template matched to the client's insurance, with authorized and delivered units for the ending period already filled in per CPT code. The BCBA writes; the rules engine checks.

4. Ready to submit

The reauth POC is clinically approved and the next authorization is still a draft. Send it to the payer and click Mark submitted.

5. Submitted

Waiting on the payer (submitted or pended).

6. Decided

Approved, partially approved or denied — recorded once with Record payer decision, then visible for 30 days.

If it slips: Lapsed N days

An end date that passes without an approved successor shows Lapsed with a day count on the board and the client profile.

Three habits that keep the board green

  1. Check Due every Monday.
  2. Keep POC templates mapped to every payer in Template Coverage — without a match, the draft is still created and TargetFlo points you to Coverage.
  3. Use the authorization utilization numbers in the reauth narrative instead of recounting sessions.
